First Steps
Do these three steps the first time you open the dashboard. Complete them before you create quotations, customer invoices, vendor documents, or accounting entries.
1. Company profile and currencies
Section titled “1. Company profile and currencies”Open Settings → General, at /settings/general.
Letterhead
Section titled “Letterhead”These fields are printed on the PDF letterhead for purchase orders, quotations, and invoices:
| Field | What to enter |
|---|---|
| Company Name | Official company name |
| Brand Name | Shorter name shown on documents when it differs from the company name |
| Slogan | Tagline under the company name |
| Contact email on the letterhead | |
| Address | Business address on the letterhead |
Click Save changes when those fields are filled.
Currencies
Section titled “Currencies”On the same page, the Currencies section is the master list of currencies this workspace can use.
- Tick every currency you will use on documents and transactions.
- Default Currency is the currency selected automatically for each new transaction: quotations, invoices to customers, documents to vendors, and the accounting journal.
Choose the default from the currencies you ticked, then save again.
More detail is on General Settings.
2. Document numbers and signers
Section titled “2. Document numbers and signers”Open Settings → Document Settings, at /settings/documents.
This page sets the numbering format for documents the dashboard creates for you.
Numbering Prefix covers Customer, Quotation, Invoice, PO, and Work Order. Each prefix can include:
| Token | Meaning |
|---|---|
{YEAR} | Four-digit year |
{ROMAN} | Month as a Roman numeral (May is V, September is IX) |
{SEQ} or {SEQ:4} | Running sequence, padded when you set a width |
The sequence restarts each calendar year. Quotation starts at, Invoice starts at, PO starts at, and Work Order starts at set the first number for the current year. A preview under each prefix shows the next number before you save.
The same page also names who signs the PDF:
- Quotation — Person in Charge — full name and title on quotation PDFs
- Invoice — Person in Charge — full name and title on invoice PDFs
- Vendor PO — Person in Charge — full name and title on vendor purchase order PDFs
Click Save Changes after the prefixes and names are set.
More detail is on Document Settings.
3. Cash and bank accounts
Section titled “3. Cash and bank accounts”Open Finance → Cash & Bank, at /finance/cash-bank.
Add every cash account and bank account you will receive money into or pay from. If this list is still empty, a journal cannot be posted, because a cash or bank movement has no account to post against.
Add the account, including its currency and opening balance, before you record payments or other cash movements.
See Finance for how cash and bank fits with invoices and expenses.
